Overview
An international law firm is seeking a Legal Secretary to provide high-quality secretarial and administrative support to fee earners within a collaborative team environment.

Key Responsibilities

  • Manage complex diaries, schedule meetings, and coordinate travel arrangements and business itineraries.
  • Act as a point of contact for clients, handling calls and correspondence in a professional manner.
  • Prepare, format, and amend legal documents, correspondence, reports, and presentations from a variety of sources, ensuring accuracy and timely delivery.
  • Maintain organised filing systems, both electronic and hard copy, in line with firm procedures.
  • Record and manage time entries on a daily basis using the firm’s billing system, ensuring all deadlines are met.
  • Support the billing process, liaising with finance teams and coordinating invoices as required.
  • Process expenses, reimbursements, and payment requests through internal systems.
  • Maintain and update client relationship management systems with relevant contact and meeting information.
  • Coordinate documentation for court or transactional purposes when required.
  • Work collaboratively within the administrative team, providing cover and assisting with additional tasks when needed.
  • Ensure the highest level of confidentiality is maintained at all times.
  • Keep accurate handover notes for assigned fee earners and undertake ad hoc administrative duties as required.

Key Requirements

  • Previous legal secretarial or administrative experience within a professional services environment.
  • Strong organisational skills with the ability to manage competing priorities and meet deadlines.
  • Proactive approach with the ability to anticipate the needs of fee earners.
  • Excellent communication skills and a strong client-service focus.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with document management and billing systems (e.g. Worksite, 3E or similar).
  • Experience with email management, billing, and expense coordination.
  • High attention to detail with the ability to review work independently.
  • Team-oriented with a flexible and adaptable approach.
  • Reliable with strong attendance and punctuality.
