Legal Secretary
Overview
An international law firm is seeking a Legal Secretary to provide high-quality secretarial and administrative support to fee earners within a collaborative team environment.
Key Responsibilities
- Manage complex diaries, schedule meetings, and coordinate travel arrangements and business itineraries.
- Act as a point of contact for clients, handling calls and correspondence in a professional manner.
- Prepare, format, and amend legal documents, correspondence, reports, and presentations from a variety of sources, ensuring accuracy and timely delivery.
- Maintain organised filing systems, both electronic and hard copy, in line with firm procedures.
- Record and manage time entries on a daily basis using the firm’s billing system, ensuring all deadlines are met.
- Support the billing process, liaising with finance teams and coordinating invoices as required.
- Process expenses, reimbursements, and payment requests through internal systems.
- Maintain and update client relationship management systems with relevant contact and meeting information.
- Coordinate documentation for court or transactional purposes when required.
- Work collaboratively within the administrative team, providing cover and assisting with additional tasks when needed.
- Ensure the highest level of confidentiality is maintained at all times.
- Keep accurate handover notes for assigned fee earners and undertake ad hoc administrative duties as required.
Key Requirements
- Previous legal secretarial or administrative experience within a professional services environment.
- Strong organisational skills with the ability to manage competing priorities and meet deadlines.
- Proactive approach with the ability to anticipate the needs of fee earners.
- Excellent communication skills and a strong client-service focus.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with document management and billing systems (e.g. Worksite, 3E or similar).
- Experience with email management, billing, and expense coordination.
- High attention to detail with the ability to review work independently.
- Team-oriented with a flexible and adaptable approach.
- Reliable with strong attendance and punctuality.
